UBU has introduced a new paperless finance system. This means no more coming to the office to sign paper forms and the process will simplify getting reimbursements and making purchases.
As you know, we are currently undertaking a Finance Turnaround programme and are implementing recommendations provided by our external Students' Union and Finance consultants, Counterculture. One of the key recommendations is to move towards becoming a more cashless and paperless organisation. Whilst this transition will take time, our aim is to significantly reduce the use of paper forms and cash transactions wherever possible.
Introducing Approval max
Approval Max is our new approval system that will replace physical finance forms and manual approval signatures for finance payment and reimbursement requests from both students and staff.

What This Means for You:
For students, the introduction of Approval Max and our online payment system will provide a faster and more efficient way to process finance requests and purchases. Requests can be submitted, approved, and tracked online or through the Approval Max App, making the process more convenient and transparent for everyone.
As part of this approach, there will no longer be a need to collect cash, as all payments will be made either by bank transfer or online debit card payment.
Student Rollout
From Monday 26 October, we will no longer accept paper finance request forms from students.
- All student finance requests must be submitted through Approval max.
- All Executives will receive an invitation email to register for Approval max.
- When creating their account, students must use their full University of Bradford student email address and not their shortened username email address. Staff should use their staff email address where applicable.
- If they experience any issues, they can contact the Finance Team [ubu-finance@bradford.ac.uk] or one of the student staff members already using the system: Oshan, Sharayu, Palak or Sakib.
