Governance 

Submit your governing document

  • What this is: This governing document/club constitution was required in summer to register your group.
  • Evidence: No need to submit it. Just explain on the submission form that you’ve emailed it in

 

Submit a development plan

  • What this is: Templates for it can be found on Exec Resources
  • Evidence: email this in alongside the submission form  

 

Create an exec agreement

  • What this is: A guide on it can be found on Exec resources
  • Evidence: email the document alongside the submission form  

 

Hold regular exec meetings for semester 1/ semester 2

  • What this is: Exec meetings should take place at least once every 2 weeks in person. If it can’t take place in person, some sort of alternative should be arrange like a voice call
  • Evidence: put the dates you held meetings on the submission form

 

Share all exec minutes with UBU and members for semester 1/ semester 2

  • What this is: notes (minutes) should be made at every exec meeting on what was discussed and agreed
  • Evidence: email the minutes alongside the submission form  

 

Represented by at least one exec/members at UBU General Meeting

  • What this is: UBU organises 3 General Meetings a yea open to all students, the sabbatical officers should tell you when these are
  • Evidence: No need to submit anything. These points are awarded from registers taken at the meeting

 

% of members vote in your election

  • What this is: Only members who join your group on the website can vote in elections and the more who vote, the more points you get
  • Evidence: No need to submit anything. These points are awarded after elections are completed on our website

 

Submit semester 1/semester 2 reports

  • What this is: Each group/club should submit a short report of things you’ve done to the sabbatical officer at the end of each semester
  • Evidence: Email it to the sabbatical officer

 

Produce a comprehensive hand over document

  • What this is: a document with key contacts, log in and passwords for social media accounts, photos and documents and useful information for the next exec team
  • Evidence: Email it alongside the submission form

 

Finance

 

Create a budget for an event or the year

  • What it is: clubs are required to submit a budget form in summer, and some events are required to have a budget completed on the online spreadsheet
  • Evidence: refer to the annual budget having been submitted or put the event form link with the budget on the submission form

 

Fundraise for your group

  • What it is: You can set up an event or tickets on the website for people to donate to your club/group
  • Evidence: Email alongside the submission form photos from your event or link to event page

 

Secure a sponsorship agreement with a local/national/international organisation

  • What it is: when an organisation promised money or discounts for members/something in return for advertisements or similar
  • Evidence: the agreement document needs to be emailed in alongside the submission or put on the submission form if it’s already been submitted

 

Member engagement 

Hold a recruitment stall

  • What it is: A stall at Freshers or Refreshers fayre, or one you have organised separately in the union mall to advertise your group/club
  • Evidence: a photo of your stall

 

Hold a recruitment or give it a go event

  • What it is: an event or regular booking/session that you open up to all students and actively encourage anyone to attend
  • Evidence: a photo of your event or social media posts

 

Hold event for members

  • What it is: a one-off activity you organise for your members to take part in that is registered with UBU
  • Evidence: the events form, social media posts or photos from the event

 

Run regular sessions for members for semester 1/semester 2

  • What it is: sport training sessions, or rehearsals or the same activity held at least fortnightly
  • Evidence: photos from the sessions

 

Hold an Annual General Meeting for your members

  • What it is: a meeting normally held at the end of the year or for when something needs to be discussed by all members
  • Evidence: room booking confirmation, photos or minutes from the meeting

 

UBU engagement 

Hold an event open to the entire student body

  • What it is: a one-off activity you organise that is advertised to and is open for all students to attend
  • Evidence: the events form, social media posts or photos from the event

 

Collaborate with another UBU student group or department

  • What it is: an event or campaign that you organise together. Responsibilities can be equally shared or separated between each group involved
  • Evidence: the events form, social media posts or photos from the event that shows both groups/departments were involved

 

Hold a collaborative event with 2 or more UBU areas

  • What it is: an event or campaign that two, three, four or more groups/non-sabbs/departmennts organise together. Responsibilities can be equally shared or separated between each group involved
  • Evidence: the events form, social media posts or photos from the event that shows both groups/departments were involved

 

Fundraise over the academic year

  • What it is: this covers any funds you raise that are for your private account, for UBU RAG nominated charities or your own chosen charity. The amounts you raise at each event or campaign for any of these can be totalled up. EG: £50 for your private account, £100 for RAG nominated and £100 for chosen charity at different times in the year = £250 fundraised over the year
  • Evidence: amounts you have fundraised and for who on the submission form so we can check

 

Set up a volunteering opportunity for your members via UBU

  • What it is: if your members help run your group/club or you organise something extra they can volunteer with, you can set it up as part of Kick Start at UBU and these students can be recognised with a certificate and HEAR mention.
  • Evidence: when it’s set up with Kickstart or volunteering they will let us know  

 

Community engagement 

Represent UBU at local/regional/national/international level

  • What it is: when your club/group attends a sports fixture, inter-university competition, attend an event by another organisation (e.g. NUS) as to a large event and network
  • Evidence: BUCS or competition results or photos/social media posts/emails proving you attended something

 

Collaborate with a local/regional/national/international organisation

  • What it is: an event or campaign that you organise together. Responsibilities can be equally shared or separated between each group involved but it must be an event you as students wanted to hold
  • Evidence: the events form, social media posts or photos from the event that shows you’re your group and the organisation were involved

 

Organise an event open to the local community

  • What it is: a one-off activity you organise that is advertised to and is open for all members of the public to attend
  • Evidence: the events form, social media posts or photos from the event

 

Organise an event in the local community

  • What it is: a one-off activity you organise that takes place off university campus/premises and is advertised to and is open for all members of the public to attend
  • Evidence: the events form, social media posts or photos from the event

 

Marketing 

Update your bradfordunisu.co.uk webpage

  • What it is: every group/club has a webpage on www.bradfordunisu.co.uk which you can edit via the dashboard
  • Evidence: tell us on the submission form when you updated it and we will check the page

 

Have 1 or more active social media accounts

  • What it is: active accounts is when you post something at least once a week, this can be a news feed post or story
  • Evidence: send the URL link to your social media account on the submission form

 

Have a presence across 4 social media accounts

  • What it is: accounts set up on 4 different social media outlets
  • Evidence: send URL links to all four accounts on the submission form

 

Create a recruitment video/recruitment graphic for the UBU Big Screen

  • What it is: videos or images that fit the requirements (on marketing training module) that advertise your group/club
  • Evidence: the file attached to the email alongside the submission form

 

Have a high resolution/vector format logo

  • What it is: the logo of your club/group that does not pixelate when you zoom in, and can stretch to at least A4 size
  • Evidence: email the logo or refer to UBU has made on your submission form

 

Featured/promoted by external local/regional/national/international organisation

  • What it is: when your club/group as a whole or one of your events is advertised by another organisation on their website, social media or newsletter
  • Evidence: a link to or screenshot of the mention by the organisation
